This Privacy Policy describes how A Better Way Technology Group, alongside its associated brands including BetterWay Technology, Get More Digital, Got This Support, and A Better Link ("we", "us", or "our") collects, uses, stores, and protects your personal information when you use our website or engage our technical support services.

1. Who We Are

A Better Way Technology Group is an IT support and technology services company based in Sylvan Lake, Alberta, Canada. We serve clients across Canada. Clients located outside of Canada — including those in the United States — are served by BetterWay Technology Services Inc. (Montana) and should refer to that entity's terms and privacy policy at betterway.technology.

As an Alberta-based organization, we are subject to the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and the Alberta Personal Information Protection Act (PIPA).

2. Information We Collect

a. Information You Provide

We collect information you give us directly when you:

  • Submit a support ticket — name, email address, phone number, issue description, and any files or screenshots you attach.
  • Book an appointment — name, email address, phone number, and your selected appointment time.
  • Opt-in to Communications — phone numbers and consent data provided for SMS text messaging, email, call tracking, and voicemail drops.
  • Engage us as a client — business name, billing address, payment method details, and information about your technology environment necessary to provide services.

b. Automatically Collected Information

When you visit our website, we automatically collect data regarding your IP address, browser type, pages visited, device type, and referring URL. This is managed through our hosting infrastructure (Cloudflare) and our analytics platforms.

c. Information From Service Interactions

If you call or text our business phone numbers, we may collect call tracking data, voicemail recordings, and SMS conversation history to ensure quality service delivery.

3. How We Use Your Information

a. Service Delivery & Operations

The primary use of your information is to provide the IT and technical support services you have requested. This includes managing support tickets, scheduling appointments, diagnosing issues, and maintaining continuity of service across interactions.

b. SMS & Communications

By providing your phone number and opting in through our website forms, booking calendars, or direct communication, you consent to receive SMS text messages, emails, voice calls, and voicemail drops from us. These communications include customer support replies, automated appointment reminders, service updates, and account notifications.

  • Message frequency: Message frequency may vary based on your interaction with our services.
  • Rates: Message and data rates may apply.
  • Conditions: Consent to receive SMS messages is not a condition of purchase.
  • Opt-In: Users opt in by explicitly submitting their phone number and agreeing to be contacted.

c. Security, Fraud Prevention, and Legal Obligations

We may use information to detect, investigate, and prevent unauthorized access or abuse of our infrastructure, and to fulfill tax, accounting, or legal regulatory requirements.

4. Data Sharing Policy

We strictly protect your personal information. We do not sell, rent, or trade your personal information to any third party for their marketing or commercial purposes, under any circumstances. Customer opt-in data is never sold, rented, or shared for marketing. We explicitly do not share SMS consent with affiliates or third parties.

Mandatory A2P SMS Compliance:

  • No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
  • Text messaging originator opt-in data and consent will not be shared with any third parties, except for aggregators and providers of the text message services.
  • Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Service Providers & Legal Requirements: We process data through specialized service providers (outlined in Section 5) solely to operate our business. These providers act as data processors on our behalf and are strictly prohibited from utilizing your personal data or SMS consent for their own marketing. We may release records only if required by law or to comply with a binding court order.

5. Third-Party Services

The following platforms process data strictly as service providers for our operations. Each is prohibited from using your data for external marketing.

a. GoHighLevel CRM

GoHighLevel acts as our primary data processor, CRM, funnel builder, automation platform, and communications system. It securely stores contact data, conversations, forms, and automation workflows. It enables our SMS, email, calls, voicemail drops, call tracking, and appointment scheduling. GoHighLevel data is stored on infrastructure in the United States. GoHighLevel operates strictly on our behalf and does not use your data for external marketing.

b. Zoho Desk

We use Zoho Desk to manage support tickets. When you submit a ticket, your name, email, phone number, issue description, and any attachments are stored in Zoho Desk. Data is stored in their Canadian data centre. Zoho is certified under ISO 27001 and SOC 2 Type II.

c. Cloudflare

Our website is hosted and delivered through Cloudflare Pages and Cloudflare Workers. Cloudflare processes network traffic and may log request metadata (IP address, timestamps, request paths) for security and performance purposes. Cloudflare is certified under ISO 27001, SOC 2, and the EU-US Data Privacy Framework.

d. Matomo

We use Matomo for website analytics, cookies, and tracking pixels to analyze website traffic and understand user behaviour. This data is used to manage our digital advertising campaigns and improve our services. Data collected through Matomo is strictly separated from SMS opt-in data and is never used to influence communications consent.

e. Anthropic

Our pricing tool uses the Anthropic Claude API to process anonymous natural-language descriptions of technology needs. We do not send identifiable personal information (name, email, phone) to this API. Anthropic's data handling is governed by their API usage policy.

6. Data Storage and Security

a. Where Data Is Stored

Support ticket data is stored in Zoho Desk's Canadian data centre. CRM, communications, and scheduling data is stored in GoHighLevel's US infrastructure. Website operational data is processed by Cloudflare's global edge network. We do not operate our own data centre.

b. Security Measures

We implement strict access controls, multi-factor authentication, and TLS (HTTPS) encryption in transit to protect your data. Access to client records and support systems is limited to team members who require it for service delivery. We select service providers that maintain recognized security certifications (ISO 27001, SOC 2).

No system is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security against all threats.

c. Breach Notification

In the event of a data breach that poses a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required under PIPEDA. We will provide notice without unreasonable delay and include the nature of the breach, the information affected, and steps you can take to protect yourself.

7. Data Retention

We retain personal information only as long as necessary for the purposes for which it was collected, or as required by law.

  • Support ticket records — retained for a minimum of 2 years after ticket closure to support ongoing service continuity and dispute resolution, then deleted or anonymized.
  • Booking and appointment records — retained for 1 year after the appointment date.
  • Client billing records — retained for 7 years after the end of the client relationship, consistent with Canadian tax and accounting requirements.
  • SMS opt-in data — retained as long as you maintain an active communication relationship with us. Opt-out requests are processed immediately and records updated accordingly.
  • Website access logs — retained by Cloudflare per their standard log retention policy (typically 30 days for detailed logs).

When retention periods expire, data is deleted or anonymized so it can no longer be linked to an individual.

8. Your Rights & Opt-Out Instructions

Under PIPEDA and Alberta's PIPA, you have the following rights regarding your personal information.

a. Access and Correction

You may request access to the personal information we hold about you, and ask us to correct any information that is inaccurate or incomplete. We will respond to access requests within 30 days. In some cases, we may need to verify your identity before fulfilling a request.

b. Withdrawal of Consent

Where we rely on your consent to process personal information, you may withdraw that consent at any time. Withdrawal of consent may affect our ability to continue providing services to you.

c. Deletion Requests

You may request that we delete your personal information by contacting us at help@betterway.group. We will comply unless retention is required by law or is necessary to fulfill an existing service obligation.

d. SMS Opt-Out

You may opt out of receiving text messages at any time. To stop receiving text messages, reply STOP to any message you receive from us. After you send STOP, we will send you a confirmation message and you will no longer receive SMS messages from us. For assistance, reply HELP.

e. Email Opt-Out

You can unsubscribe from marketing emails at any time by clicking the "unsubscribe" link at the bottom of our emails, or by contacting us directly at help@betterway.group.

9. Cookies, Tracking Technologies, and Ads

We use cookies, web beacons, and tracking pixels through Matomo to analyze website traffic, understand user behaviour, and manage our digital advertising campaigns. This helps us display relevant ads for our technical support services. Most browsers are set to accept cookies by default; you can adjust your browser settings to remove or reject cookies.

Cloudflare may set a short-lived security cookie (__cf_bm) to distinguish human visitors from automated traffic. This cookie contains no personal information and expires within 30 minutes.

The GoHighLevel booking widget embedded on our site operates in an iframe from crm.betterway.group and may set cookies within that domain when you interact with the booking form. Those cookies are governed by GoHighLevel's privacy policy.

Important Note: Data collected via cookies, tracking pixels, or ads is strictly separated from your SMS opt-in data. SMS consent and mobile information are never shared with advertising platforms.

10. Children's Privacy

Our services are not directed at children under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please contact us and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we do, we will update the "Last Updated" date at the top of this page. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
